CASE STUDY · UNTESTED PROPOSAL

Test a read-only briefing before replacing HubSpot or automating replies.

A support agent may need facts from HubSpot, Shopify, a carrier, and approved policy. CXey would collect those facts in one Slack briefing. The agent would check the briefing and send the response.

Customer-support context for a small commerce company

This is a product proposal, not a customer-success claim. No production pilot or measured client result is represented here.

01

THE JOB

Answer the customer without reconstructing the account.

The inquiry, order, fulfillment state, carrier exception, and policy may live in different systems. The agent must reconcile them before replying.

  1. 01

The inquiry is not the operational context

HubSpot can hold the conversation and ticket. The agent still needs the current commerce, fulfillment, carrier, policy, and relationship facts required for this exact case.

  2. 02

Synchronized data is not always current case truth

HubSpot's Shopify data sync is useful, but its documented behavior includes delayed synchronization, one-way order sync, duplicate risk, and unsupported Shopify variants and metafields. Consequential facts still need source and freshness.

  3. 03

A Slack ticket is not a composed briefing

HubSpot can synchronize help-desk tickets and notifications to Slack. CXey's narrower job is to assemble the permitted live facts from several sources into one concise, source-linked briefing for the assigned agent.

  4. 04

    Identity errors create disclosure risk

Email and record associations can be incomplete or duplicated. CXey uses exact identifiers, exposes ambiguity, and withholds customer-specific detail when a match is not safe.

02

THE PROPOSAL

Read narrowly. Prove every fact. Keep the human response.

The first version does not draft a reply or change any record. It gives the assigned agent a briefing with source links and timestamps.

CXEY MAY

Read, reconcile, and brief.

Every fact shows its source and age. The briefing flags missing or doubtful facts.

CXEY MAY NOT

Change records or contact customers.

If identity is unclear, CXey withholds customer details. Live access requires a separate approval.

03

PROOF REQUIRED

One correct briefing before a product claim.

The next step is a read-only test, not live use.

Questions that can stop the work

  1. 01

Can the current HubSpot configuration be inventoried well enough to compare it with a defined desired state?

  2. 02

Can each proposed configuration change be reviewed, tested, documented, approved, and reversed?

  3. 03

Which HubSpot object or inbox exposes the complete inbound thread, stable IDs, owner, and deep link?

  4. 04

Can the final response be observed through permitted read-only access, or is the mailbox the required source?

  5. 05

Were the historical actions correct, and who has authority to approve a candidate rule as policy?

  6. 06

Do participating operators understand the purpose, evidence boundary, correction path, and workforce implications?

Measures to baseline

  • Eligible inquiries receiving a briefing
  • Research time per inquiry
  • Time to first human response
  • Critical facts correct when source data is available
  • Identity ambiguity and withheld-detail rate
  • Agent trust in source and freshness
